Recommended pa pers for photo printing For the best print qu ality, HP recommends using HP pap ers that ar e specifi cally designed for the t ype of project you are printing. Depending on your cou ntry/region, some of these pap ers might not be available.

3. Close the li d. Load an original in the auto matic document feeder (ADF) You can copy, scan, or fax a document by placing it in the ADF. CAUTION: Do not load photos in the ADF; this might damage your photos. U se only media that is suppo rted by the printer.
2. Slide the width gui des inward until they stop at the l eft and right edges of the media. Load media This section provides instru ctions for loading media into the printer. • Load standard -size media • Load envelop es • Load cards and photo paper NOTE: Printing on custom-size med ia is not supported by this printer.

Load envelope s To load envel opes Use these instructio ns to load an envelope. 1. Pull out the input t ray as far as possible. 2. Slide out the paper w idth guides in the input tray a s far as possible. 3. Insert the envelopes print-si de down and load according to the graph ic.

3. Insert the media p rint-side down in the tray. Make sure the stack of m edia is inserted as far inside the print er as possible and does not exceed the li ne marking in the tray. If the pho to paper has a tab along one edge, make sure the ta b is pointing towards the front of the printer.
Maintain the printer This section provides instru ctions for keeping the printe r in top working condition. Perform these m aintenance procedures as necessary.
3. Clean the glass and lid backing by using a soft, lint-f ree cloth th at has been sprayed with a m ild glass cleaner. 1 2 1L i d b a c k i n g 2 Scanner glass CAUTION: Use only glass cleaner to cle an the scanner glass. Avoid cleaners that contain abrasives, acetone, benzene, and carbon tetrachloride, al l of which can damage the sca nner glass.
Clean the ADF If the ADF picks up multi ple pages or if it does not pick up plain pa per, you can clean the ADF. To clean the ADF 1. Turn off the print er. For more information, see Turn off the printer. 2. Remove all ori ginals from t he ADF. 3. Lift the ADF cover.

2P r i n t Most print settings a re automatically handled by the sof tware application. Change t he settings manuall y only when you want to change p rint quality, print on specific typ es of paper, or use special f eatures. For more information about selecting the best print media for your do cuments, see Select print media.
4. To change setting s, click the button that opens t he Properties dialog box. Depending on your sof tware application, this butto n might be called Proper ties , Options , Printer Setup , Printer , or Prefer ences .
Print brochures (Win dows) NOTE: To set print settings for all print jobs, make the changes in the HP software provided with the prin ter. For more information on the HP sof tware, see Printer management tools. 1. Load paper in the tra y. For more information, see L oad media.
• Thick, irregular, or curled edges • Areas that are wr inkled, torn, or otherwis e damaged Make sure the folds of envelop es you load in the printer are sharply creased. NOTE: For more information a bout printing on envelopes, see the do cumentation available with the sof tware program you are using.
Print photos Do not leave unused photo paper in the input tray. The paper might start to curl, w hich could impair the q uality of your printout. Phot o paper should be flat before print ing.
6. Click Paper Type/Quality from the pop-up menu, and then se lect the followin g settings: • Paper Type: The appropriate pho to paper type • Quality: Best or Maxi mum dpi NOTE: If you do not see th ese options, click the disclosure tr iangle next to the Printer pop-up menu or cli ck Show Details .
Print borderless documents or photos (Mac O S X) 1. Load paper in the tra y. For more information, see L oad media. 2. Select a borderless paper size : a .F r o m t h e File menu in your sof tware application, click Page Setup . NOTE: If you do not see a Page Setup menu item, go to step 3.
3 Scan You can use the printe r’s control panel to scan documents, ph otos, and other originals and send them to a vari ety of desti nations, su ch as a fold er on a comput er. You can also scan these origin als from your computer using eith er the HP software provided with the printer or TW AIN-compliant or WIA-complian t programs.
To scan an origi nal from HP printer software 1. Load your original prin t-side down in the right-front corne r of the glass or in the ADF. For more in formation, se e Load an original o n the scanner glass or Load a n original in the aut omatic document feeder (AD F).
Scanning documents as editable text When scanning document s, you can use the HP software t o sca n documents into a format that you can search , copy, paste, and edit.
6. After the s can is complete, click the Save button i n the HP Scan toolb ar 7. Select the type of edita ble text you want to use in t he scan: I want to... Follow these steps Extract just the text, without any of the formatting of the original Select TXT from the Format pop-up menu.
• Choose th e correct profile. Be sure to select a shortcut or preset that allows scanning as edita ble text. These options use scan settings d esigned to maximize the quality of yo ur OCR scan. In Windows, use the Ed itable Text (OCR) or Save as PDF shortcuts.
4C o p y You can produce high-quality color and grayscale copies on a variety of paper types and sizes. NOTE: If you are copying a documen t when a fax arrives, the fax is stored in the printer's memory until th e copying finishes. As a result, the number of f ax pages that can be stored in memory mi ght be reduced.
You can use these settin gs for single copy jobs, or you can save set tings to be used as defaults for f uture jobs. To change copy setti ngs for a single job 1. From the Home screen on t he printer control panel, press the but ton to the right of Copy .
5F a x You can use the printer t o send and receive faxes, including color faxes. You can schedule faxes to be sent a t a later time and set up speed-dia ls to send faxes quickly and easily to frequent ly used numbers.
Send a fax You can easily send a sing le- or multiple-page black-and-whi te or color fax by using the printer contro l panel. NOTE: If you need printed con firmation that your faxes were successf ully sent, enable fax confirm ation before sending any faxes.
To send a fax using monitor diali ng from the printer control panel 1. Load your origina ls. For additional information, see Load an original on the scanner glass or L oad an original in the aut omatic document feeder (AD F). 2. From the Home screen, usi ng the buttons on the right, select Fax , select Start Fax , and then se lect Black or Color .

You can continue to sen d faxes normally, ho wever, while a fax is sched uled. NOTE: You can only send scheduled faxes in black-and-white.
Send a fax to multiple r ecipients You can send a fax to mul tiple recipients at once by grou ping individual speed dial entries into group speed dial entries. For more info rmation, see Set up speed-di al entries. To send a fax to multiple recipi ents using group speed dial 1.
Mac OS X 1. Open the document on your computer that you want to fax. 2. From the File menu i n your soft ware applic ation, cl ick Print . 3. Select the printer t hat has “(Fax)” in the name. 4. Select Fax Recipi ents from the pop-up men u below the Orientation setting.
Receive a fax You can receive faxe s automatically or manually. If you turn off the Auto Answer option, you must receive f axes manually. If you turn on the Auto Answer option (the default settin g), the printer automatically answers incoming call s and receives faxes after the num ber of rings that are specified by the Rings to Answer setti ng.
4. If you are currently on the phone with the sender, instruct the sender to press Start on their fax machine. 5. When you hear fax ton es from a sending fax machine, do the fo llowing: a .
Reprint rece ived faxes fro m memory When Backu p Fax Reception mode is set to On , the received faxes are stored in memory, whether the pri nter has an error condition or not. NOTE: After the memory becomes ful l, the oldest, printed faxes are overwritte n as new faxes are received .
Send a test fax to ma ke sure the fax m achine is able to receive your forwarded f axes. To forward faxes from the printer control pa nel 1. From the Home screen, press t he (Setup) button. 2. Using the button s on the right, scroll to and select Fa x Setup , select Advanced Setup , and then select Fa x Forwarding .
To set automatic reduction from the printer control panel 1. From the Home screen, press t he (Setup) button. 2. Using the button s on the right, scroll to and select Fa x Setup , select Advanced Setup , and then select Automatic Reduction . 3. Scroll to and select On or Off , and then press the button to the right o f OK .
Remove nu mbers from the junk fax l ist If you no longer want to block a fax n umber, you can remove a number from your junk fax list. To remove number s from the list of junk fax numbers 1. From the Home screen on the printer control panel, press the (Setup) but ton.
Fax to PC and Fax to Mac requ irements • The admi nistrator co mputer, th e computer th at activate d the Fax t o PC or Fax to Mac feature, must be on at all times. Only one computer can act as the Fax to PC or Fax to Mac admi nistrator comp uter. • The destination fo lder's computer or server must be on at all t imes.
You can turn off Fax to PC or Fax to Mac an d disable printing faxes from the prin ter's control panel. To modify settings from th e pr inter’s contr ol panel 1. From the Home screen, press t he (Setup) button. 2. Using the button s on the right, scroll to and select Fa x Setup , select Basic Setup , and then se lect HP Digital Fax .

3. Scroll to and select th e entries you want to include in th e Quick Contact group, and then select Done . 4. Type the name for the group, and then press the butt on to the right of OK .
• Set the fax speed • Set the fax so und volume • Set the Error Correction Mode Configure the fax head er The fax header prints your nam e and fax number on the top of every fa x you send. HP recommends that you set up the fax header by using the HP softw are provided with the printer.

Set the fax speed You can set the fax speed used to communicate between you r printer and other fax machines when sendi ng and receiving faxes. If you use one of the f ollowing, setting the fax sp eed.
Before tur ning the ECM setting o ff, conside r the follo wing. If yo u turn ECM off: • The quality a nd transmission speed of faxes you se nd and receive are affect ed. •T h e Fax Speed is aut omatically set to M edium . • You can no lo nger send or receive faxes in co lor.
TIP: Support for trad itional fax transmission over any Intern et protocol telephone systems are often limited. If you experience problems faxing, try using a slower fax speed or di sabling th e fax error-c orrection mode (ECM). However , if you turn o ff ECM, you cannot send a nd receive color faxes.
NOTE: Ink level alerts and indicators provide estimates for plann ing purposes only. When you rece ive a low-ink alert, consider having a repla cement cartridge available to avoid po ssible printing delays. You do not need to replace the ink cartridges until print qua lity becomes unacceptable.
Print fax error reports You can configure the printer so that it automatically prints a report w hen there is an error during t ransmission or reception. To set the printer to print fa x error reports automatical ly 1. From the Home screen, press t he (Setup) button.
Print a T30 fax trace rep ort Use the follow ing procedure to print a T30 f ax trace report. To print a T30 fax trace report 1. From the Home screen, press t he (Setup) button. 2. Using the button s on the right, scroll to and select Fa x Setup , select Fax Reports , and then se lect T30 Fax Trace Report .
6H P e P r i n t HP ePrint is a free servic e from HP that allows you to print to your HP ePrint-enabled printer anywhere you can sen d an email. Just send your documents and photos to the email address assigne d to your printer when you enable Web Services.
3. On the Web Services tab, click Setup in the Web Services Settings section, and then click Continue . 4. Click Accept Terms of Use and Enabl e Web Services , and then click Next . 5. Click Yes to allow the printe r to automatically check for an d install product updates.
Use HP ePrint To use HP ePrint, make sure to have the following: • An Internet- and ema il-capable computer or mobile de vice • An HP ePrint-capabl e printer on which Web Servic es has been enabled TIP: For more inform ation about managing and configuring HP ePrint settings and to learn about th e latest features, visit ePrint Center ( www.
Turn off HP ePrint To turn off HP ePrint , complete the followin g steps: 1. On the printer cont rol panel, press the (HP ePrint) button , and then press the (Setup) button. 2. Using the button s on the right, scroll to and select ePrin t: On . 3. Scroll to and select Off , and then press the button to the rig ht of OK .
7 Work with ink cartridges To ensure the best print q uality from the printer, you need to perform some simple maintenan ce proced ures. To resolve print qualit y issues, see Print quality troubl eshooting.
• Handle ink cart ridges carefully. Dropping, j arring, or rough handling during installation can cause temporary printing probl ems. • If you are transpor ting the printer, do the follow ing to prevent ink leaking from the printer or other d amage from occurring to the printer: ◦ Make sure you turn off the printer by pressi ng Power .
NOTE: At this time, some po rtions of the HP Web site are available in Engl ish only. NOTE: Not all cartri dges are available in all countries/ regions. CAUTION: Wait until you have a ne w ink cartridge available before removing the old ink cartridge.
5. Twist the orange cap t o snap it off. 6. Using the colored shaped icons for help, slide t he ink cartridge into the empty slot until it clicks into pl ace and is seated firmly in the slot. Make sure that you insert the i nk cartridge into the slot tha t has the same shaped icon and color as the one you are installing.

Check the mar gin settings Make sure the margin set tings for the document do not excee d the printable area of the printer. For more information, see Set minimum margins. Check the color print settings Make sure Print in Gr ayscale is not selected in the printer drive r.
TIP: If you are using a com puter running Windows, you ca n visit the HP online support website a t www.hp.com/g o/customercare. This web site provides information and utilities that can help you correct many common printer problems.
Cause: The ink ca rtridges might have insuffic ient ink. If this di d not sol ve the issue , try the next solution. Solution 3: Check the paper loaded in the input tray Solution: Make sure the paper is load ed correctly and that it is not w rinkled or too thick.
Solution 5: Check the print settings Solution: Check the print settings. • Check the prin t settings to see if the color settings a re incorrect. For example, check to see if the document is set to pr int in grayscale.
Media is not supported for the printer or tray Use only media tha t is supported for the printer and the t ray being used. For more information , see Media specifications. Media is not p icked up from a tray • Make sure media is loade d in the tray.
Solve copy problems If the following t opics do not help, see HP support for informa tion about HP support. • No copy came out • Copies are blank • Size is reduced • Copy qual ity is poor • .
Copy quality is poor Take steps to impro ve the copy quality • Use quality origi nals. The accuracy of the copy de pends on the quality and size of the original. Us e the Copy menu to adjust the brightness of the copy. If the original is too light, the copy m ight not be able to compensate, eve n if you adjust the contrast.
• Incompletely filled text or graphics Try adjusting the con trast and copy-quality settings . • Large, black typ efaces look splotchy (not sm ooth) The default en hancement setting might not be suita ble for the job. Check the setting and chang e it to enhance text or photographs, if ne eded.
Scanner did nothing • Check the origi nal Make sure that the ori ginal is loaded correctly. For more in formation, see Load an original on the scann er glass or Load an original in t he automatic document feeder (ADF).
Text cannot be edited • Make sure that th e OCR has been installed: ◦ Make sure that the OC R has been installe d: Windows: On th e computer desktop, click Start , select Programs or All Programs , click HP , select your printer name, and then click Printer Setup & Software .
Error messages appe ar • Unable to acti vate TWAIN source or An error occurred while acqu iring the image ◦ If you are acquiring an image from another device, such as a nother scanner, make sure that the ot her device is TWAIN- compliant. De vices that a re not TWAIN-compliant do not work with the HP software provided w ith the printer.
The scanned imag e shows blots, lines, vertic al white stripes, or other defec ts ◦ If the scanner glass is dirty, the image produced does not have optimum clarity. See Maintain the print er for cleaning instructions. ◦ The defects mig ht be on the original and are not a result of the scanning process.
Solve fax problems This section contai ns fax setup troubleshooting information f or the printer. If the printer is not set up correctly for f axing, you might experience problems when send ing faxes, receiving faxes, or both. If you are having faxing problems, yo u can print a fax test report to check the sta tus of the printer.
The "Fax Hardwar e Test" failed Solution: • Turn the printer of f by pressing the (Po wer) button located on the printe r control panel and then unplug the power cord from the back of the printer. After a few seconds, plug the po wer cord in again, and then turn the po wer on.
• Try connectin g a working phone and phone cord to t he telephone wall jack that you are using for the p rinter and check for a dial tone. If yo u do not hear a dial tone, contact your t elephone company and have them ch eck the line. • Try to send or receive a test fax.
• Make sure you use the phone cord th at came with the printer. If you do not use the supplied ph one cord to connect from the tel ephone wall jack to the pri nter, you might no t be able to send or receiv e faxes. Afte r you plug i n the phon e cord that came with the pri nter, run the fax test again.

After you resolve any problems foun d, run the fax test again to make sure it passes and the printer is ready for faxing. If the Dial Tone Detection test continues to fail, contact your teleph one company and have them check the pho ne line.

• The phone line connection might be noisy. Pho ne lines with poor sound quality (noise) can cause faxin g problems. Check the soun d quality o f the phon e line by plugging a pho ne into the telephone wall jack and listening for static or other noise.
• Make sure the tel ephone you use to initiate the fa x call is connected directly to the printer. To sen d a fax manually, the telephone mu st be connected directly to the port labe led 2-EXT on the printer, as shown in the illustration.
• If you have a comput er dial-up modem on the same phone lin e with the printer, check to make sure that th e software that came wit h your modem i s not set to receive faxe s automatical ly.
• If the printer share s the same phone line with other typ es of phone equipment, such as an answering m achine, a computer dial-up mode m, or a multi-port switch box, the fa x signal level might be reduced. T he signal level can also be reduced if you use a splitter or connect ex tra cables to extend the length of your phone.
Fax tones are reco rded on my answering m achine Solution: • When you have an answeri ng machine on the same phone line yo u use for fax calls, try connecting the answ ering machine directly to the printer as de scribed in Case I: Shared voice /fax line with answering machin e.
The computer canno t receive faxes (Fax to PC and Fax to Mac) Cause: The com puter selected to receive faxes is turned off. Solution: Make sure the c omputer selec ted to rec eive faxes is sw itched on at all times. Cause: Differe nt computers are configured for setup and recei ving faxes and one of them may be switched off.
• If you are using H P ePrint, check the followin g: ◦ Make sure the printer’s email address is co rrect. ◦ The ePrint server does not accept email print jobs if there are mu ltiple email addresses included i n the "To" or "Cc" fields.
TIP: If you are using a com puter running Windows, HP provi des a tool called HP Home Network Di agnostic Uti lity that ca n help retri eve this info rmation for so me systems. G Errors (Windows) Fax memory full If Backup Fax Reception or HP Digital Fax (Fax to PC or Fax to Mac) is e nabled and the printer has a problem (such as a paper jam), the prin ter saves incoming faxes to memory until the problem is resolved.
